Wound care medical billing questions, answered.
Everything about your Reimbursement Optimization Analysis, working with us, and whether we're a fit.
About the call.
When you book a Reimbursement Review, you're booking your Reimbursement Optimization Analysis. Same call.
How long is the Reimbursement Optimization Analysis call?
30 minutes. It's a call with Brittany, not a sales pitch, so it doesn't take long to see where your billing stands.
Who runs the call?
Brittany Walthall. She has oversight of every account and coordinates with the team on your billing.
Does booking a call cost anything?
Nothing. The call is no charge and no obligation. We'll look at your denial rate, your AR aging, and your underpayment exposure, then tell you what we see.
Do I need to prepare anything?
It helps to know your denial rate, your top three payers, and your monthly claim volume. If you don't have those handy, come anyway. We'll figure it out together.
Is the call a sales pitch?
No. You'll get an honest read on your billing: what's working, what isn't, and where we'd focus first.
What if I'm not ready to switch billers?
That's fine. There's no obligation, and you'll still leave with a clear read on where your billing stands. When you're ready, you're welcome to come back for the next cycle.
Which specialties do you bill?
Wound care, podiatry, and vascular specialists. That's our specialty, and it's all we do. If your work sits outside that, we're glad to point you toward someone who's a better match.
How do I know if I should book a call?
If you're a provider or practice manager and billing feels harder than it should, book one. The practices that get the most from it usually have rising denials, aging AR, or a hunch they're being underpaid. If that sounds familiar, we'll find it.
How many practices do you take on each month?
Two or three. We keep it small on purpose, so your account gets the attention it needs.
When can I start?
New practices start each month between the 15th and the 30th. If this cycle's full, we'll get you into the next one, so you won't wait long.
What happens after the call?
If we're a fit, we'll put together a proposal. Either way, you'll leave with a clear picture of where your billing stands, and that's yours to keep.
Why practices choose us.
We already have a billing company.
Most practices that come to us do. The call looks at your billing, and we walk through what we find together.
Switching is too disruptive.
We keep onboarding smooth. Our agreement gives you a full 180-day transition period, and we hand over all open account data in a format you or any future biller can use. There's no lock-in.
How do I know you'll perform?
You can see it for yourself. Patientflows gives you real-time visibility into claims, denials, and collections. And our agreement includes an accountability clause: if a denial's our error, we rework and resubmit it at no charge.
Do you guarantee results?
We won't promise a specific number, since honest billing depends on your documentation too. What we promise is the work and full visibility: you'll see every claim, denial, and dollar in Patientflows, in real time.
How does your pricing work?
A flat monthly rate based on your claim volume. No percentage of collections, so your bill doesn't climb just because you had a strong month. You'll find the tiers on our pricing page.
How do you handle compliance and documentation?
We bill to what the documentation supports, and that's the standard we hold ourselves to. Our team's wound care certified, and we run quarterly documentation reviews.
Do you collect any patient health information through your website?
No. Our forms collect business contact info only: practice name, your name, email, phone. No patient names, no conditions, no insurance IDs.
What happens if a denial is your error?
If a denial's our error, we rework and resubmit at no charge. That's our accountability clause: if it's our mistake, we fix it and resubmit.
How do you stay current on payer policy and documentation changes?
Our platform holds payer policies and documentation requirements and updates them automatically as they change. Brittany also tracks CMS updates directly, and the team holds wound care certifications that require continuing education.
Do you work with manufacturers or distributors?
Yes. We offer standalone insurance verification and prior authorization for manufacturers, suppliers, and distributors, for any product or supply, not just skin substitutes. It's separate from our billing work. See our Services page →
Common fit questions.
How do I know if we're a good fit?
If you're a wound care, podiatry, or vascular practice with real wound care volume, you're likely a fit. The practices we help most have denials stacking up or billing they can't fully see.
Does the size of my practice matter?
Not to us. We work with everyone from solo providers to multi-provider groups. Pricing scales to your claim volume, so the model fits whatever size you are.
We're just getting our billing set up.
Good timing. We can build the foundation with you, so you start clean instead of cleaning up later.
We're a mobile-only practice.
Mobile wound care practices are welcome. We'll talk through your setup on the call and find the best fit together.
